Kacha for Business · SMEs and solopreneurs

Your team spends. Kacha keeps the paperwork.

Staff photograph receipts on their phones. You approve, reimburse and export from any browser — with the supplier PINs and KRA checks your accountant needs already attached.

Set up on the web with your KRA PIN · Scan on Android and iPhone · Works on your phone and your computer

How it works

From a crumpled receipt to a closed month.

  1. Create your business

Sign up on the web with a work email and your business’s KRA PIN. It takes a couple of minutes.

  2. Put the app on phones

You and your staff install Kacha and log in with the work email — the app switches to business mode by itself.

  3. Scan as you spend

Every receipt lands in your Expenses list within moments, read and checked, with the person who spent it.

  4. Approve and close the month

Approve or reject, reimburse what staff paid personally, then export for your books or hand it to your accountant.

What you get

Everything between the till and the tax return.

No spreadsheets passed around, no photos in WhatsApp groups, no end-of-month chase.

  • Scan anywhere

Staff photograph receipts or scan the QR code. Kacha reads the merchant, items, VAT and total for them.

  • Approve with control

Approve or reject with a reason, set per-receipt and monthly limits, and choose who is allowed to approve what.

  • Reimburse staff properly

A receipt someone paid for themselves becomes “owed”. Record the payment with a reference and it is settled.

  • M-Pesa in one place

Connect your till or paybill, or import an M-Pesa statement, and see money in and out beside your receipts.

  • Know where it went

Spend by category, by person and by month, with GL codes you control.

  • Ready for KRA

Supplier PINs, invoice numbers and eTIMS verification travel with every receipt, plus a VAT working schedule.

  • Export to your books

Download a CSV of receipts and M-Pesa, or an import file for QuickBooks.

  • Your accountant, connected

Link your accounting firm and they can see your receipts and VAT schedules — no more chasing you for paperwork.

  • Staff see their own

Team members see what they have scanned and what they are owed. Owners and approvers see everything.

Solopreneurs

A team of one works the same way.

Freelancers, consultants and one-person shops get the same tools, without the team overhead.

Working for yourself

  • Scan every business receipt as you go and keep it, read and filed, instead of in a shoebox.
  • Mark what you paid for personally and see what the business owes you.
  • See the VAT you can claim, with supplier PINs and invoice numbers attached.
  • Hand your accountant a clean file at year end — or let them see it as it happens.

Questions

Before you sign up

Can I use my personal Kacha account?
No — and that is deliberate. A business is its own account, so personal receipts and points never mix with the company’s books. Create the business with a work email that is not the one you use for personal receipts.
Why do I sign up on the website, not in the app?
A business needs a KRA PIN, an organisation and staff invitations, which are easier on a larger screen. The app is where receipts are captured; the choice at app sign-up simply sends you to the website.
Do staff earn Kacha Points?
No. Business receipts are bookkeeping, not rewards, and they are never counted in shopper points, price checks or supplier insight.
Who can see our receipts?
Owners and approvers see the whole team’s receipts. Staff see their own. If you link an accountant, they can see your receipts and VAT schedules — and you can revoke that.
How do I add my accountant?
From the Accountants page: search for your firm, or enter the share code they give you. They approve the link on their side.
Does it work on my phone?
Yes. The business site is built for phones as well as computers, so you can approve a receipt from anywhere.

Close the month without the chase.

Create your business account, then put the app on your team’s phones.
